Claimify, Inc. ("Claimify", "we", "our") operates the website https://claimifyai.com and the Claimify AR automation service. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

Information We Collect

Account Information. When you create a Claimify account, you provide us with your name, company name, work email address, and a password. If you sign up via a payment plan, we also collect billing information (billing address, Stripe customer ID) — we do not store raw card data.

Invoice Data. You upload CSV files or connect accounting platforms (QuickBooks, Xero, etc.) containing invoice records — customer names, email addresses, invoice amounts, and due dates. This data is stored in your Claimify account and used solely to operate your AR collections workflow.

Email Activity. We log when emails are sent, opened, and replied to through our service. We also store the content of inbound replies routed to your account.

Technical Data. We collect standard server logs: IP address, browser type, pages visited, and timestamps. This is used for service reliability and security monitoring.

How We Use Your Information

Data Sharing

We do not sell your data. We do not share your invoice data, customer contacts, or usage data with advertisers, data brokers, or third-party marketing platforms.

We share data only in these limited circumstances:

Data Retention

Your invoice and customer contact data is retained for as long as your account is active. If you cancel your subscription, your data is retained for 90 days, then deleted. You may request deletion at any time by emailing hello@claimifyai.com. Aggregate, anonymized usage statistics may be retained indefinitely for product improvement purposes — these cannot be linked back to your company or customers.

Security

All data is encrypted in transit using TLS 1.2+ and at rest using AES-256. Access to our infrastructure is restricted to authorized personnel and monitored via audit logs. Our service is deployed on Render's infrastructure, which is SOC 2 Type II compliant. You are responsible for keeping your account password confidential.

Cookies

Claimify uses session cookies to keep you logged in to your account. We do not use tracking or advertising cookies. A session cookie is set when you log in and is deleted when you log out. We also store a visitor ID in localStorage for product analytics — this is anonymous and cannot be used to identify you.

Data Processing Agreement

Enterprise customers and EU-based companies can request a Data Processing Agreement (DPA) by emailing legal@claimifyai.com. We offer DPAs as standard for all EU customers.

Children's Privacy

Claimify's service is designed for and directed at business professionals. We do not knowingly collect information from individuals under 18 years of age.

Changes to This Policy

We will update this Privacy Policy when we make material changes to how we handle your data. We will notify you via email and/or a prominent notice in your dashboard at least 30 days before any changes take effect.
